    Who are you presenting to?

    My presentation is to my internal team at ABC, Inc., comprising the Customer Service, Shipping, and Billing departments. These members of the team are in various areas within the country.

    What is the problem you are addressing? What is the solution you are proposing?

    The problem is a time lag with the delivery of one of the clients due to the absence of internal communication. The solution is to institute specific guidelines that will guide email use, as well as establish Slack as a real-time communication tool in order to address urgent, time-based, internal communication.

    When should changes be implemented?

    The implemented changes should be made as promptly as possible. This will be done this week, and the Slack channels of the department will be established, and quick onboarding support will be provided so the departments can commence using the platform immediately.

    Where and how did you research the problem? Where (or in what sources) did you locate the solution?

    I researched the problem as per the incident and the failure to communicate on Printables. To come up with solutions, I have read the internal workflows and have quoted the studies that have given the benefits of the real-time messaging service, like Slack.

    Why is your proposal the best solution to the problem?

    It is also quicker to arrange, possesses a higher level of accountability, and more visibly grasps urgent communication as compared to email. Slack is a proven tool in modern working environments for alleviating the email overload and making it more responsive. It also supports the conversations in a chronological order, available and searchable.

    How should messages be modified when using email and the app?

    Formal communication, such as policies, summaries, and client communications, should be conducted through emails. Urgent things, brief updates, or interdepartmental coordination should be addressed by using Slack. Slack messages are to be short, straightforward, and tagged so that it is clear and accountable.

    Additional Considerations

    Is your PowerPoint or presentation easy to see/read? Is the font an appropriate size? Is the color contrast appropriate?

    Yes. The clean layout in each slide minimizes the use of words in the text, the font size is clear, and the color contrast is good to make the text more readable. Crowding can be prevented by the use of bullets and spacing.

    Have you provided closed captions to ensure accessibility?

    Yes. It will have closed captions or a transcript so that the presentation can be accessible to all the team members, including those with hearing impairments.

    Have you developed speaker notes or a transcript to help you cover the information you intend? Does your speaking plan correlate to the PowerPoint?

    Yes. A complete speaker script has been provided to follow the presentation and make the presentation consistent with the content of the slides. It also guarantees a clear correspondence between the verbal and the visual information.

    Why are you presenting virtually instead of in-person?

    The team is spread all over, and it is not feasible to hold an in-person meeting. With a virtual presentation, all people can receive the message without being concerned with the location.

     

    Because of various time zones and different schedules, asynchronous delivery enables the team members to access the presentation at their convenience and avoid any conflicts with their schedules.

     

    The message should be succinct, well-organized, and adorned with images and captions. It needs to have a good introduction and conclusion, and each point must be explained in a clear and understandable manner without using real-time feedback and question-and-answer.
