    Subject: Proposal to Improve Internal Communication Methods to Prevent Future Shipment Errors.

    The aim of the current memo is to recommend actions that can be taken to enhance the current internal communication system to avoid similar errors that occur in the shipment process, such as the one we recently experienced as a result of the Printables order. In this respect, the shipment was not timely, and by the time we heard complaints concerning the situation, we were already unable to figure out what had happened. After conducting the analysis, it has become obvious that some important email regarding this order was caught in the spam box of the manager of the Shipping Department. Communication and services were thus affected due to it.

    At present, our organization resorts to the usage of emails as a means that is used to share information on a regular basis and during disasters as well. It is agreeable that emails can be useful in regard to writing official communications. However, in cases where urgent messages have to be sent, it is evident that it does not work effectively in this instance. The main features of the Emails are overuse, spam filters, and absence of instant feedback, and as such, they cannot be relied upon during emergencies, specifically during shipping. In order to surmount this difficulty, it is necessary to establish regulations on how to work with emails and use a messaging app instead.

    I suggest taking the two-approach measures:

    1. Define the Conditions for Using Emails

    Use emails for:

    • Documenting the end decision, consensus, or revision of policies.
    • Sharing reports, summary statements, or results of the meeting.
    • Communication or communication with other external parties or clients.
    • Non-urgent internal notifications or announcements.

    Never use emails for:

    • Any form of coordination or operational issues.
    • Delays or difficulties with deliveries, shipping problems, and so on.
    • This will make it possible to make sure that email communications are still a record-keeping method while preventing an overflow. Restricting the use of emails may imply that staff members have to reform themselves initially.
    1. Start Using Slack for All Internal Matters

    Slack can be beneficial for:

    • Up-to-date information about shipments and solutions to any issues
    • Communication within particular departments
    • Give specific workers (such as @Shipping Team) a quick reply.
    • Quick notifications about anything, and exchanging files

    How is Slack efficient?

    • Offers prompt notifications, thus cutting the delay in response time
    • Enhances the openness of critical issues amongst teams.
    • Promotes collaboration and responsibility in communication.

    Potential drawbacks include:

    • May would lead to informal communications as opposed to email communications.
    • It can be distracting unless taken into consideration.
    • Needs to be trained and used by all the teams.

    Guidelines on how messages should be sent in Slack:

    • Be concise and to the point with your messages.
    • Professionally-informally communicate.
    • Include urgency markers

    The above will ensure that the communication process will be more efficient since there is a slight chance that any of the messages may be lost altogether. Though formal communication will be facilitated through email communication, it will be much quicker to facilitate operations using Slack. Hamkar et al. (2024) believe that the shape of the writing style, urgency of the problems, and intended audience can be determinants of the channels of communication that are going to be adopted in the workplace. No immediacy of communication can be provided by email, but messengers can do so effectively. The usage of collaboration tools has been found to enhance communication in terms of coordination (Fuchs & Reichel, 2023).

    Utilization of the two communication channels will help the business optimize its processes and reduce any mistakes, as well as ensure that customers’ needs are met to the fullest. The slight alterations in the communication will not be as substantial as the advantages of this new strategy will bring. The foremost important thing, the above strategies will assist in preventing the catastrophe of the Printables once again.
